Role Overview

Team Reps (2+ per team)

  • Game management: Create fair lineups and batting orders, coordinate scorekeepers & base coaches. .
  • Logistics: Track attendance, coordinate subs, and submit scores.
  • Leadership: Understand rules, handle umpire disputes, and report faulty equipment & player injuries.

Team Mentors (1+ per team)

  • Skill building: Guide players in batting, fielding, and base running.
  • Motivation: Inspire new players and promote league social events.
  • Culture: Model "Spirit of the League" and foster team bonding.


Inclusive Leadership

  • Respecting Pronouns
  • Introductions: Use introduction circles to share names and pronouns.
  • Accuracy: If someone uses multiple pronouns (e.g., she/they), alternate between them.
  • Avoid gendered slang: Use "Team," "Pals," or "Friends" instead of "Ladies" or "Guys."
  • Corrections: If you make a mistake, apologize briefly and move on. If others make a mistake, gently model the correct usage in your reply.
  • Boosting Team Spirit
  • You aren't a one-person show. Lean on your teammates to keep the energy high!
  • Celebrate small wins: Even if the scoreboard is lopsided, celebrate every run and great catch. Focus on progress over the final score.
  • Delegate & engage: Ask teammates to help with warm-ups, base coaching, or keeping score. An active bench is a motivated bench.
  • The "Cheer" factor: Actively encourage your team to cheer for one another. It’s the easiest way to keep spirits high during a tough inning.
  • Handle mistakes with grace: We all make errors! Remind players that as long as they are learning and bonding, they are winning by the "Spirit of the League" standards.



Team Rep Rolling Responsibilities


Logistics & Attendance

  • Tracking: Set a Thursday EOD deadline for player RSVPs.
  • Late Players: If a player arrives after the 3rd inning, they cannot play. If they are late but arrive before then, move them to the bottom of the order (they are an automatic out until they arrive).
  • Subs: Sub request forms will be sent every Thursday to team reps and Saturday to players. Please indicate if you need pitching/catching subs. Check the sub form to see who’s signed up to play.
  • Game lineup: Create the lineup each week, based on player position preferences.
  • No-shows: If a player misses a game without 48 hours' notice twice, notify the Team Coordinators.
  • Scores: Resolve scoring disputes with umps and other team and Submit scores online

Managing Conflict & Injuries

  • Unsportspersonlike behavior: Pull the player aside, listen, and remind them of league spirit. Involve a Collective member if needed.
  • Complaints: Direct formal or anonymous complaints to the Equity Coordinator at notso.outreach@gmail.com.
  • Injuries: Stop the game immediately. Emergency contacts are in your team binder.
  • Ambulance: Provide address 420 Carlton Street (top of the hill).
  • Incident Reports: Report injuries, supplies used, and faulty equipment using the Notso Accident and Equipment Report form


Team Reps: Game Day Checklist & Quick FAQs

Pre-Game

  • 10 AM Home teams: Set up bases 15 min early

  • Exchange lineups with opponents

  • Assign a scorekeeper (does not need to be a registered player)

  • Fill out the laminated game sheet for fence

  • Meet with the umpire

  • Assign a scorekeeper

During Game

  • Assign base coaches each inning (rostered players only)

  • Engage respectfully with umpires

  • Manage the bench & keep batting lineups moving

  • Fill out the Notso Accident and Equipment Report form to inform the Collective about any injuries or first aid kit items that need to be replenished.

Post-Game

What do I do if my umpire is late or a no-show?

Let a Collective member know, and we will try and find you a replacement. In cases of a late start to the game, in your umpire meeting, confirm the time for starting the last inning.

What do I do if someone is injured?

You will have the emergency contact info for all of your team members in the back of your binder. Immediately stop the game and assess next steps. If calling an ambulance, give the address as 420 Carlton Street.

What if a team member is late?

Move the player to the bottom of the batting order. They are an automatic out if they don’t show up in time to bat. A player must arrive by the third inning in order to join the game. Otherwise, they should be noted as a no-show.
